If you run a machine shop or a component plant, the job card is the one piece of paper the floor actually lives by. It says what to make, how many, by when, which operations and machines the part goes through — and it comes back at the end of the shift showing what was really produced, and what was rejected. This free template gives you that job card and a simple production plan in one clean Excel sheet, so you can stop scribbling on a printout and start with a format that adds up.

We built it the way a real shop uses it. There is a bold, bordered header row that stays frozen while you scroll, one clearly-marked sample row you delete before you start, and thirteen columns that cover the full life of a work order — from the day you release it to the count of good and reject pieces at the last operation. It is a standard business format, not fabricated data, so you can hand it to a supervisor and they will know exactly what to write where.

What a job card and a production plan actually do

People use the two words loosely, so it is worth being clear, because this sheet does both.

A production plan is the forward view: across all the orders on your books, what are we making, how much, and by when. It sets the sequence and the target so the floor is not guessing at the start of the day. A job card is the execution of one of those orders — the shop-floor packet for a single work order. It carries the part, the quantity and the due date at the top, then a row for each operation on the route, and against each operation it captures the planned quantity and what actually came off the machine: good pieces, reject pieces, and who ran it.

Put together, the plan tells the floor what should happen and the job card records what did. When the two sit on the same sheet — as they do here — you can see at a glance whether an order is on track, where pieces are being lost to rejection, and which operation or machine is the bottleneck. That is the whole point of writing it down instead of carrying it in your head.

Every column in the template, explained

Thirteen columns, each with a job. Fill the top five once per work order, then add a row per operation for the rest.

OperationThe step on the route — e.g. OP-30 CNC Milling, deburring, inspection. One row per operation.

Planned QtyThe target quantity for that operation before the shift starts.
Actual QtyHow many pieces the operation actually processed.
GoodPieces that passed — the OK quantity moving to the next operation.
RejectPieces rejected at this operation — the not-OK quantity.
OperatorWho ran the operation — so a reject has a name and a shift against it.
RemarksAnything the row needs — a hold, a rework note, a reason for the reject.

Good and Reject are kept separate on purpose. A single "actual" total hides your yield; splitting good from reject at each operation shows exactly where pieces are being lost, which is the first thing you need before you can cut your rejection rate.

How to use it in six steps

  • Download and open the .xlsx above in Excel, Google Sheets or LibreOffice, and delete the yellow sample row.
  • Enter the work order header — Work Order No, Product/Part, Qty, Start Date and Due Date for the order you are releasing.
  • List the operations in route order — one row each, with the Operation and the Machine it runs on.
  • Set the plan — put a Planned Qty against each operation so the floor knows the target before the shift.
  • Book the actuals as work runs — Actual Qty, Good, Reject and the Operator, operation by operation.
  • Close and review — add Remarks for holds or rework, save one copy per work order, and total Good versus Reject to read your yield.

Keep one file per work order, or one sheet per week — whatever your team can keep tidy. The template does not lock you into either; it just gives everyone the same columns so the numbers reconcile when you add them up.
