What a work order actually is
A work order is an instruction to manufacture a defined quantity of an item by a date. It is the single most important document on a shop floor because everything else attaches to it: material is reserved and issued against it, operations are run against it, WIP is booked against it, finished goods are transferred against it, and rejection and rework are recorded against it. Take the work order away and production is a set of disconnected activities; put it in the middle and they become one traceable job.

A make-to-order plant lives on sales work orders: the SWO keeps the job tied to the customer order that triggered it, so it can carry order-specific specifications and be traced back to the customer for delivery and audit. A component manufacturer making to a schedule uses internal work orders generated from the plan. Most plants use both.
The lifecycle, status by status
A disciplined work order moves through a controlled set of statuses, and the value of a real system is that each transition is recorded, not assumed. The practical lifecycle looks like this:
The important discipline is that a status should always be read together with the screen that set it. A work order at completed means output has been transferred; at short-closed it means the job was deliberately ended before the full quantity was made — a real and necessary state, because scrap, cancelled demand or a design change can all stop a job early. A system that only offers open and closed cannot represent that reality; one with draft, released, in-progress, completed, closed, short-closed and cancelled can.
Raising and generating a work order
A work order can be born two ways. It can be raised manually when a supervisor or planner decides to make a quantity of an item. Or it can be generated from the plan — Fast Planning / MRP turns sales and component demand into suggested quantities and generates work orders directly, so plan → work order → issue becomes one continuous chain rather than three disconnected steps re-keyed by hand.
Either way the work order is born at draft, where its quantity, dates and specifications can still be set. Work-order specifications capture per-category attributes on the order — the extra parameters a particular part or customer needs — so the instruction to the floor is complete before it is released. Once released, the order is committed to run and material can be issued against it.

Job cards and shop-floor packets
Once a work order is released, the floor needs its copy. A job card is the printed shop-floor packet for the work order — what to make, how much, against which order, through which operations. Job cards are printed in batches, allocated to the floor, and then tracked as work progresses. For most Indian plants the job card is the single most familiar artefact on the floor, which is why digitising it — batch printing, sheet allocation and live status against the card — is often the first and easiest step from paper to a live production system, without asking operators to change how they think about a job.
The job card is also where traceability starts to accrue: because each card is tied to its work order, everything booked against the card — material, operations, good and reject — attaches to the order automatically.
Consumption, completion and short-close
As a work order runs, the system records what it actually consumed and compares it with the standard. Consumption against BOM is where the money shows up: the released BOM says the order should consume a certain quantity of each material, and the actual issues (net of returns) say what it really took. The variance surfaces excess issue, unbooked scrap or a wrong standard — turning the work order from a paper instruction into a live material and cost record.
When the route is complete, output is transferred to finished-goods stock and the order moves to completed, then closed once reconciled. Where a job stops early — cancelled demand, a design change, unrecoverable scrap — it is short-closed rather than left open forever or falsely marked complete. That honesty is what keeps work-order follow-up and ageing reports meaningful.
Follow-up and live job-card status
The payoff of running work orders in a system rather than on a board is visibility.
